Assistant Director for Operations

The d’Center in Norfolk, VA is seeking an Assistant Director for Operations who assists the Executive Director and Center in an administrative, day-to-day operations and budget capacity.  

The position requires flexibility, adaptability and the willingness to learn.  A positive CAN-DO and WILL-DO attitude and appreciation for customer service is important in this role.  The new Assistant Director for Operations will have outstanding organization abilities, strong attention to detail, be tech savvy, can prioritize daily workload and multiple projects, can work independently and within a team, strong problem solving abilities, possesses discretion and confidentiality, understands the importance of updating and maintaining current information, customer focused, can produce reports, presentations and briefs, manage and track expenses accurately and manage the day-to-day operations of the organization.

D’Art is a non-profit community organization that has been in existence for over 35 years.  The organization resides in a 10,000 sq. foot new building, offers six weeks of summer camp, nine national exhibitions, 26 Resident and Associate Artists, a variety of classes and a venue rental.  The Assistant Director for Operations will be involved in many facets of the organization and should be able to multitask and work some evenings depending on needs of the organization.

Financial 

Prepare and make bank deposits 
Download information from transaction platforms: Square, Geotix, Paypal and Etsy into Excel
Annotate item explanations on the credit card bill
Administer check requests
Collect W-9s from vendors and instructors
Administer rent collections and make deposits
Collect timesheets from employees
Work with organization’s Bookkeeper and Board Treasurer
Prepare monthly reports
Assist Executive Director with annual budget management

Operations

Serve as contact for Cox, Konica, VA Power, VA Natural Gas, ADT and other services provided at d’Art Center.
Manage all keys and codes at Center.
Call in work orders to the appropriate party.     
Serve as Point of Contact for landlord, service providers, work orders, etc.
Coordinate Venue Rentals and onsite needs
Serve as daily onsite staff-member-in-charge
Serve as Point of contact with Summer Camp for Parents, Instructors and Artists while keeping records, operating records and managing facility during six-week camp session
Other Duties as Assigned

 Grant Administrator (PART -TIME) 

The D’ Art Center in Norfolk, VA is seeking a Grant Administrator to work with the Executive Director in applying for and writing grants, completing applications and reporting results/outcomes. The Grant Administrator will assist in determining organizational needs to be met and proper focus for grant applications.  This position co-manages and oversees reporting for grants (public, private and governmental).  This position manages the grants calendar, timelines and develops agency statistics for applications, reports and in-house records.  This position also partners with other staff members on programs, exhibitions and capital needs that can be funded through grant funding.  

A qualified applicant will have a BS/BA degree and should have 3-5 years proven, successful experience in soliciting and/or applying for and receiving grants from corporations, government agencies and/or foundations. There should be familiarity with utilizing databases, knowledge of online research tools and electronic grant submission.  This position requires a strong communicator, both written and oral.

Administrative Assistant (Part time-25 hours)


The d’Center in Norfolk, VA is seeking a part-time Administrative Assistant who assists the Executive Director and Center in an administrative capacity.  The position requires flexibility, adaptability and the willingness to learn.  A positive can-do attitude and appreciation for customer service is important in this role.  

D’Art is a non-profit community organization that has been in existence for over 35 years.  The organization now resides in a 10,000 square foot mixed use building located in The NEON District of Norfolk, VA.  The d’Art Center offers six weeks of summer camp, nine national exhibitions, 26 Resident and Associate Artists, a variety of classes and a rental venue.  The new Administrative Assistant will be involved in many facets of the organization and should be able to multitask and work one evening a month.

Assist Executive Director with meeting and Board Meeting preparation
Keep record of all Board Minutes once recorded by Secretary of the Board
Keep Board Roster and New Board Member packet up to date
Enter gifts on a weekly basis into Donor Record Management System
Prepare donor thank you letters and correspondence
Manage petty cash drawer and Point of Sale System
Place orders for supplies and materials as needed
Summer Camp record keeping and reporting
Organize and recruit volunteers when needed for a project
Keep and up-to-date database of volunteers
Answer community, board, artist and volunteer inquiries
Answer phone, check messages, check mail, keep supply inventory updated
